How to write a repair order

What a repair order is

Before using a repair order template, it helps to know what belongs in one. The repair order records what the shop will do to the car, with which parts and for how much. It is not an estimate: an estimate is a proposal the customer can still turn down, while the repair order is the agreement — and it is what counts when someone disputes the bill later.

What it must contain

Identify the shop and the customer, and describe the vehicle with make, model, plate or VIN and mileage — that is what ties the work to that specific car. List every part and every hour of labor on its own line, with quantity and price: when a customer questions the total, what settles it is the line, not the sum. Date and number let you find the job months later, and the notes field is where anything agreed outside the list goes: turnaround, warranty, a part the customer supplied.

Mistakes that make a repair order useless

The most common one is a vague description: “general service” proves nothing when the customer says they never approved a part. Write the work as it was done. The second is putting everything on one line, which makes it impossible to discuss one item without reopening the whole total. And never leave the vehicle without a plate or VIN — without it, the order is not attached to any car.
